£11.50 to £12.50 paye per hour

Job Summary:
This is a countywide role. You will work flexibly across our main bases located at Chertsey, Guildford and Redhill. You will provide cover, often at short notice, for Reception, the Central Referral Hub and Local administration functions. As the first point of contact for service users, carers, health professionals and 3rd party organizations, you will provide a high quality, professional, efficient, and responsive administrative support service within our multi-disciplinary team. Using our Electronic Patient Record system and Microsoft Office applications you will effectively operate the referral, appointment, discharge, and communications systems. You will be required to respond flexibly to changing circumstances to deliver against commissioned standards and targets.
Duties:
- Effectively operate the referral, appointment, and discharge systems using the electronic calendar and tracking systems to achieve processing standards and commissioned targets.
- As the first point of contact, provide a professional front line service, demonstrating a high degree of tact, diplomacy and confidentiality for service users, carers, health professionals and 3rd party organizations.
- Operate an efficient telephone message system, exercising judgement in the exchange and prioritization of information.
- Responsible for the management of team email systems and social media communication channels ensuring actions are taken within agreed timescales
- Responsible for the provision of outstanding customer service. Ensure patient experience feedback underpins service improvement initiatives. Work collaboratively to develop systems that promote the valued image of people who use services, keeping information received confidential in line with the organizational policies.
- Responsibility for the complete and accurate entry of information onto the SystmOne Electronic Patient Record system. Maintain an excellent working knowledge of SystmOne and ensure that data quality is maintained at a consistently high level.
- Responsible for drafting non-clinical letters, typing clinical and administrative documents in agreed formats and within specified timescales. Ensure documents produced are of high quality in terms of presentation and accuracy and that confidentiality is always maintained.
- Responsible for the timeliness, accuracy and integrity of data recorded on paper and electronic systems. Conduct quality control audits to ensure that quality standards are being achieved.
- Minute taking at multi-disciplinary team meetings, safeguarding meetings and other meetings as required. Responsible for booking venues, preparing Agendas, accurate and comprehensive transcribing of minutes and ensuring actions arising from the meeting are dealt with as appropriate
- Co-ordination of file and record systems to ensure information is held securely and easily accessible by appropriate team members.
- Responsible for stationery stock control including ordering to ensure adequate resources re available
- Scanning documents and uploading to the EPR
Qualifications, Skills and Experience
- NVQ Level 4 in Business Administration or equivalent experience (3 years)
- Experience working in an administrative role
- Proficiency in using Microsoft Office packages including Word, Outlook, PowerPoint, Excel
